Employment Privacy Policy

Last Modified: April 10, 2026

About this policy

IntelliSurvey is committed to protecting the privacy and security of all personal data it collects and maintains on its employees, independent contractors, and job applicants. IntelliSurvey’s privacy practices conform to applicable international, national, federal, and state laws and regulations. This privacy policy describes how IntelliSurvey processes employee information about our staff and job applicants, including what type of information we gather, how we use the information, with whom we share the information, how we store the information, your options regarding the use and processing of the information, and how you may review and correct the information. We are committed to ensuring your personal information is handled responsibly and transparently. For purposes of this policy, references to ‘employee’ or ‘employees’ include employees and independent contractors, unless the context requires otherwise. This policy also applies to job applicants, where applicants are referenced.

Who we are

IntelliSurvey is a global technology company that provides software and services to enable our clients to perform market research and make better business decisions. IntelliSurvey is headquartered in Orange County, California, with an office in London, UK.

Type of employee information we process

IntelliSurvey may collect the following types of information:
  • Employment Profile Information: Legal name, ID number, passport information/SSN, home address, personal email address, telephone numbers, dependent information, emergency contacts, etc.
  • Pre-employment Documentation: Hire date, job description, background check information, resume, etc.
  • Employment History Information: Performance evaluations, salary history, promotions, disciplinary actions, timesheets, paid time off requests, etc.
  • Information from Communications Systems: Work passwords, communications via group chat and email, etc.
  • Employee Benefits Information: Account IDs, balances, medical information, payroll data, and information related to our self-insured health plans, flexible spending accounts (FSAs), ancillary plans, and other voluntary benefit plans. This also includes dependent information.

How we collect employee data

Personal employment data is received through many sources from the day-to-day activities of our employees and job applicants. Consent is requested before information is collected for the stated purpose, e.g., collecting information needed for background screenings. IntelliSurvey leverages several third parties to provide an array of employee benefits. These may include our HRIS, which facilitates the delivery of many employment benefits; our medical insurance services suppliers; and our financial services providers of 401k and company stock programs. IntelliSurvey project management tool collects information on employee work metrics, and our web servers automatically collect and store certain data in log files, including IP address, browser type, referring/exiting pages, operating system, and date/time stamp.

How we use employment data

We use your personal data for various business purposes, including compensation, health benefits, performance evaluations, and the administration of employee benefit plans. This includes the management of our self-insured health plans, flexible spending accounts (FSAs), ancillary plans, and other voluntary benefits. Administratively, we use personal information to comply with applicable laws and regulations. IntelliSurvey collects only the minimal amount of personal information necessary to support our primary activities. Access to personal information is restricted, and we conduct regular access reviews to ensure compliance and security.

How we share employee data

IntelliSurvey never sells, shares, rents, or otherwise intentionally transfers employee personal information to third parties without a legitimate business purpose. Personal information may be shared with third-party service providers (such as TPAs, brokers, and other vendors) for the administration of employee benefits, including self-insured health plans, flexible spending accounts (FSAs), ancillary plans, and other voluntary benefit plans, but only as necessary for those services.

We will not use or disclose your health information without your written authorization. Access to personal information is restricted to authorized personnel within IntelliSurvey, such as HR and payroll departments, who require it to perform their job duties.

Outside the USA and UK, IntelliSurvey partners with Employers of Record (EORs) to manage administrative services for employees, acting as a third-party organization responsible for payroll, benefits, and compliance with local labor laws. Employee data, including personal and employment information, will be shared with EORs for these purposes, and they may engage third-party vendors for additional services. We are committed to protecting employee data and ensuring that EORs and their vendors implement robust security measures.

In rare cases, IntelliSurvey may be required to disclose personal information in response to lawful requests by public authorities, including compliance with court orders, subpoenas, or other legal obligations. Even in these situations, IntelliSurvey will take steps to protect respondent privacy to the extent allowed by law.

Additionally, we may share aggregated or anonymized data for analytical purposes without identifying individual employees. Employees will be notified of any material changes to our data-sharing practices.

How we store and protect employee data

Our servers and systems are located in Orange County, CA, in the USA, and the Netherlands in the EU. All our servers are licensed, owned, and/or maintained by IntelliSurvey. In most cases, employee information collected by our third-party partner resides on servers in the USA.

All personal employment information is encrypted and only used for its intended purpose and never for marketing purposes. IntelliSurvey maintains the appropriate technical, administrative, and physical safeguards to protect the information entrusted to us. We review, monitor, and evaluate our privacy practices on a regular basis.

As mentioned previously, IntelliSurvey engages several vendors to provide a range of employee services. The security and confidentiality of the Information provided to these organizations are maintained by these vendors. IntelliSurvey regularly reviews the security postures of our highest-impact suppliers. Each partner posts their privacy policy with details of their privacy and security practices on the public website and our portals.

How to Exercise These Rights

To exercise any of the rights described above, please submit a "Verifiable Request" to IntelliSurvey through the HR department, jbird@intellisurvey.com

The Verification Process
To protect your data from unauthorized access or identity theft, we must verify your identity before fulfilling certain requests (specifically the Right to Know, Right to Delete, and Right to Correct).
  • Active Employees: If you have a password-protected account with IntelliSurvey, we will verify your identity through our existing authentication protocols. You may be required to re-authenticate your session before a high-sensitivity request (like a "Right to Know: Specific Pieces of Data") is fulfilled.
  • Former Employees and Applicants: If you do not have an active account, we will verify you by matching at least two (2) or three (3) pieces of personal information you provide against the records we maintain.
  • High-Certainty Verification: For requests for "Specific Pieces of Information," California law requires a "reasonably high degree of certainty." In these cases, you must provide a signed declaration under penalty of perjury that you are the individual whose personal information is the subject of the request.
Note: We do not require verification for requests to Opt-Out of the sale/sharing of data or to Limit the Use of Sensitive Personal Information. We will only ask for the minimum information necessary to process these specific requests.

In accordance with the CCPA/CPRA, IntelliSurvey follows these strict timelines:
  • Acknowledgment of Receipt: We will confirm receipt of your request within 10 business days and provide information about how we will process it.

  • Opt-Out/Limit Requests: Requests to Opt-Out of Sale/Sharing or to Limit the Use of Sensitive Personal Information will be acted upon within 15 business days.
Authorized Agents
You may designate an authorized agent to make a request on your behalf. To do so, you must provide the agent with written permission (signed by you), and the agent must verify their own identity with us directly. We may still require you to verify your identity directly with us unless you have provided the agent with a formal Power of Attorney.

Right to Appeal
If IntelliSurvey declines to take action regarding your request to exercise a privacy right, you have the right to appeal our decision within a reasonable period of time (not to exceed 90 days) after your receipt of our denial notice. To initiate an appeal, please submit a written request to the HR Department at jbird@intellisurvey.com with the subject line “Privacy Rights Appeal,” including a copy of our original response and the reasons you believe our decision was in error. IntelliSurvey will respond to your appeal in writing within forty-five (45) days (or sixty (60) days where required by specific state law).
